Job Description
Required Receptionist
1. Greeting Visitors: Welcome guests and clients in a friendly and professional manner, and ensure they are directed to the appropriate person or department.
2. Answering Phone Calls: Manage incoming calls, directing them to the appropriate staff members or taking messages when necessary.
3. Managing Appointments: Schedule and coordinate appointments, meetings, and events for staff members, ensuring that calendars are up to date.
4. Handling Correspondence: Sort and distribute incoming mail and packages, and prepare outgoing mail.
5. Maintaining Records: Keep accurate records of visitors, phone calls, and appointments, and maintain filing systems for documents and information.
6. Data Entry: Input and update information in databases, spreadsheets, or other systems as required.
7. Providing Information: Answer questions and provide information to clients, visitors, and staff about the organization’s services, policies, and procedures where required.
8. Office Supplies Management: Monitor and order office supplies, ensuring that the reception area is well-stocked and organized.
9. Maintaining Cleanliness: Ensure that the reception area is tidy and presentable at all times.
10. Assisting Staff: Provide administrative support to other staff members as needed, which may include tasks like photocopying, filing, or preparing documents.
11.Multitasking: Manage multiple tasks simultaneously and prioritize duties in a fast-paced environment.
12. **Technical Skills**: Use office equipment such as computers, printers, and phones efficiently, and be familiar with relevant software and applications.
